The South African Small Rifle Field Shooting Association – hereafter called SASRFSA – is committed to protecting your personal information. This policy explains what we collect, why, and how it is protected, in line with the Protection of Personal Information Act (POPIA). It covers both this website (smallbore.co.za) and our companion mobile app, SASRFSA Scoring.
Membership & account information: name, member number, email address, phone number, physical address and postal code, South African ID number, date of birth, membership class, and, where applicable, the members you register as dependants.
Event registration information: attendee name, email and phone number, meal preference, registration/attendance status, and payment status, method and reference (we do not process or store card details on this site – payments are made by EFT or in person and only the status/reference is recorded).
Competition scoring information: lane and round scores, timing data for timed stages, and photographs of paper score sheets uploaded for scoring – not photographs of individuals.
Account security information: login history and failed login attempts, used only to protect accounts from unauthorised access (e.g. temporary lockouts after repeated failed attempts).
Range Officer badge information: where a member is issued a Range Officer login badge for use on match day, that badge is linked to their membership record.
Technical information: standard web server logs (such as IP address and browser type), collected automatically by our hosting provider for security and troubleshooting purposes.
Our companion Android app requests two device permissions: Internet, to sync scoring data with our servers, and Camera, to photograph paper score sheets as part of the scoring workflow. The app does not access your location, contacts, or microphone, and does not include any third-party analytics or advertising software. Range Officers may log into the app using a QR code and PIN issued specifically for match-day use.
a. To administer membership and process membership applications and renewals;
b. To organise competitions and events, and manage registrations and attendance;
c. To calculate, record and publish competition results to logged-in members;
d. To record event fee status (EFT/cash) against a registration;
e. To protect member accounts through login security measures;
f. To communicate with members about membership, events and association business.
Competition results are visible to other logged-in members, not to the public. Membership and registration details are accessible only to authorised committee members and administrators who need them to run the association. We do not sell your personal information, and we do not share it with third parties for marketing purposes. Limited information may be shared with service providers (such as our web hosting provider) strictly to the extent needed to operate the site and app.
We retain membership and competition records for as long as you remain a member, and thereafter for as long as reasonably necessary for historical competition records, financial record-keeping, or legal obligations. You may request that your personal information be deleted or de-identified where we are not required to retain it, as set out below.
Under POPIA, you have the right to:
a. Request access to the personal information we hold about you;
b. Request correction of inaccurate or outdated information;
c. Request deletion of your information, subject to our legal and record-keeping obligations;
d. Object to the processing of your information in certain circumstances;
e. Lodge a complaint with the Information Regulator of South Africa if you believe your information has been mishandled.
We apply reasonable technical and organisational measures to protect your information, including encrypted (HTTPS) connections, password protection, and account lockout protection against repeated login attempts.
